A well-formatted quote does more than list prices — it builds trust and sets expectations. Buyers who receive clear, professional quotes close faster and negotiate less.

Quote Validity Windows

Set a clear expiry date (typically 30 days). This creates urgency and protects you from honoring stale pricing. "This quote expires on [date]" is a soft and professional close.

Line Item Clarity

Describe each line item in buyer-friendly language — what they're getting, not what you're selling. "Onboarding & training (3 sessions)" lands better than "Professional Services — PS001."

Discount Strategy

If you're offering a discount, show the original price and the discount separately so the buyer sees the value. Never just show the reduced price — you lose the anchoring benefit.
